A Few Rules To Make Your Session Successful

Podcasts are fun but to keep things that way we have a few rules and things to know. Here are some rules and policies for some different situations that may arise.

1. Booking Process:

  • Sessions must be reserved online through our booking platform. The full policy is displayed during the booking process.
  • Full payment is required at the time of booking. No payments will be collected on-site.
  • Sessions are booked in hourly increments, with a minimum booking of one hour.

2. Cancellations and Rescheduling:

  • Cancellations must be made at least 48 hours before the scheduled session to receive a full refund.
  • No refunds will be provided for cancellations made less than 48 hours before the session. The full session fee will be charged.
  • Rescheduling requests follow the same timeline as cancellations. Sessions must be rescheduled 48 hours in advance, subject to availability, and must be completed within 30 days of the original booking.

3. Session Extensions:

Sessions may be extended in hourly increments at a rate of $185 per hour, subject to availability. Extensions can be arranged on the day of recording if time permits.

4. Changes to Booking:

  • Any requests for changes (such as session duration or additional equipment) must be submitted via sales@gothamwest.co. Some requests may incur an additional fee.
  • Rescheduling follows the cancellation policy. Requests for changes made less than 48 hours before the session are subject to approval and may not be guaranteed.

5. Refund Policy:

  • Refunds are only available for cancellations made more than 48 hours in advance. No refunds will be issued after this period.
  • In the event of technical or facility issues caused by the studio that prevent the session from proceeding, Gotham West Studios will offer either a reschedule or refund, at its discretion.

6. Client Responsibilities:

  • Clients must arrive on time; sessions will begin and end at the scheduled times, regardless of the client’s arrival.
  • Clients are responsible for any damage to studio equipment caused by themselves or their guests, and may be subject to additional fees for repair or replacement.
  • It is the client’s responsibility to secure any necessary rights or permissions for the content being recorded.

Policies

Do's and Don'ts at The Studio

We’re excited for you to be our guest. To make sure everyone is comfortable and happy, we have a few rules while you’re on-site.

1. Respectful Behavior:

All clients, guests, and staff must treat each other with respect and professionalism at all times. Any form of harassment, discrimination, or disrespectful behavior will not be tolerated and may result in immediate termination of the session without a refund.

2. Punctuality:

  • Clients and their guests must arrive on time. Sessions will start and end at the scheduled times regardless of late arrival.
  • Any setup or breakdown time should be factored into the booking. Additional time will be billed if the session runs over.

3. Guest Policy:

  • Clients are allowed to bring a limited number of guests, as specified during the booking. The studio reserves the right to limit the number of people allowed in the recording space for safety or operational reasons.
  • All guests must remain in designated areas and follow studio rules.

4. Noise Levels:

  • The studio is a professional environment. Please keep noise levels to a minimum in common areas and respect others who may be working in adjacent spaces.
  • Loud conversations, playing music, or disruptive behavior in shared spaces or hallways is prohibited.

5. Food and Drink:

  • Food and drink are not allowed inside the recording studio itself to protect equipment.
  • Designated break areas are available for eating and drinking. Water is allowed in closed containers in the recording areas.

6. Prohibited Items:

  • Smoking, including e-cigarettes and vaping, is strictly prohibited inside the studio.
  • Alcohol and drugs are not allowed on the premises. Anyone under the influence of drugs or alcohol will be asked to leave, and their session may be terminated without refund.
  • Any dangerous or illegal items (weapons, explosives, etc.) are strictly forbidden.

7. Equipment Use:

  • Studio equipment must be treated with care. Clients will be held responsible for any damage to equipment caused by misuse or negligence, and may be charged for repairs or replacement.
  • Only authorized personnel or studio engineers are permitted to handle certain high-end or sensitive equipment unless otherwise agreed.

8. Personal Belongings:

  • Gotham West Studios is not responsible for any personal belongings left behind. Please ensure all personal items are taken with you at the end of your session.
  • Lockers or secure spaces can be provided for personal items upon request.

9. Security and Privacy:

  • For security purposes, parts of the studio are monitored by video cameras. Footage is kept confidential and is used only for security purposes.
  • The privacy of our clients is paramount. No unauthorized photos, videos, or recordings are allowed on-site. Clients may be asked to sign a waiver for certain security protocols.

10. Cleanliness:

  • Please maintain a clean workspace. Dispose of any trash in designated bins and return the studio to the condition it was in when you arrived.
  • A cleaning fee may be applied if the studio is left in an unacceptable condition.

11. Children and Pets:

  • Children under 18 must be accompanied by an adult at all times and are not allowed in the recording areas unless they are part of the production.
  • Pets are not allowed in the studio, with the exception of certified service animals.
